Organizations usually start with one problem — inspections on paper, training records in spreadsheets, documents on a shared drive — and buy a tool for it. Three or four tools later, the information still doesn't connect. This guide helps evaluation teams compare connected platforms on the criteria that matter after go-live.

1. Start with workflows, not features

Write down three workflows that cross departments today — for example, inspection finding to verified repair, procedure revision to employee acknowledgment, and new hire to qualified operator. Ask every vendor to demonstrate those workflows end to end using your terminology.

2. Evaluate the field experience

  • Can a frontline employee complete a task without training?
  • How many taps does a pre-use inspection take?
  • Can workers receive documents and acknowledge them without a full license?

3. Ask how the data connects

A platform is connected only if a record created in one place is usable everywhere else without re-entry. Ask whether inspection findings, incidents and asset defects all create the same kind of corrective action, and whether those actions report together.

4. Examine the architecture

Ask how the product connects workflows and data across modules, and whether its architecture supports ongoing development and consistent access controls. Kresynt is powered by a modern technology stack, not legacy software.

5. Security and IT review questions

  • How are roles and permissions configured?
  • Is there an audit trail of changes?
  • Who owns the data, and how is it exported if we leave?
  • How is AI used, and is our data used to train models?
  • What authentication options are supported?

6. Implementation and support

Ask for the implementation plan in writing: phases, responsibilities, data preparation, training approach and what "launched" means. The best platform poorly implemented will underperform a good platform implemented well.

7. Pricing transparency

Understand what is included, how users are counted, whether analytics and training are extra, and how pricing changes as you add locations and employees.

Evaluation scorecard. Score each vendor 1–5 on: workflow fit, field usability, data connectivity, architecture, security, AI governance, implementation, support and pricing transparency. Weight the criteria before demos begin.
